Simple Property Ledger Privacy Policy
Effective September 8, 2026 · Last updated October 10, 2026
Simple Property Ledger is local-first. Property, tenant, financial, and document records stay on your Mac or in a Portfolio Library location you select. Imported documents and recognized text are not sent to us or to an external artificial-intelligence document-analysis service.
1. Summary
- Records are stored on your Mac and in the Portfolio Library location you choose.
- Document recognition and optical character recognition (OCR) run locally using Apple technologies.
- We do not sell personal information, display advertising, or track you across apps or websites.
- You choose whether the Portfolio Library is local, on an external drive, or within your own iCloud Drive.
2. Information the app can store
Simple Property Ledger allows you to enter, import, organize, calculate, and export information that may include:
- property addresses, ownership, purchase information, valuations, taxes, insurance, utilities, renovations, appliances, mortgages, lines of credit, income, expenses, receipts, mileage, and bank statements;
- tenant and lease information, including names, telephone numbers, email addresses, rental dates, rent amounts, payment history, deposits, notes, and supporting documents;
- documents selected by you, which may contain identity information, driver’s licence information, banking information, signatures, or other sensitive personal information;
- contractor and professional contact information, quotes, invoices, photographs, job records, and notes; and
- application preferences, backup information, and locally generated summaries or reports.
This information is added at your direction and is used to provide the app’s record-keeping, document-management, reporting, calculation, backup, and recovery features.
3. Local storage
The app’s structured working database is stored locally within its private macOS application-support area. Documents, photographs, bank statements, backups, exports, and portable snapshots are stored in the Portfolio Library folder you select.
If you choose a folder on your Mac, external drive, or network location, those files remain in that location. We do not operate a Simple Property Ledger account or cloud database and cannot access your local records.
Files in the Portfolio Library inherit the security protections of their storage location. Except for a manual backup that you choose to password-protect, the app does not add a separate encryption layer to ordinary Portfolio Library files.
4. Local OCR and document suggestions
When you import a supported PDF, JPEG, or PNG file, Simple Property Ledger can use Apple’s Vision framework and related Apple technologies on your Mac to recognize text.
The app may use recognized text and the filename to suggest:
- the document type and the property or tenant folder where the saved copy may belong;
- a relevant document date and date-prefixed filename;
- an organization, tenant, vendor, amount, reference number, or property address; and
- supported property, mortgage, tax, warranty, receipt, or lease fields.
These suggestions are produced and reviewed locally. You remain in control of the selected folder, saved filename, and any information applied to a record. OCR can be incomplete or incorrect, so compare important suggestions with the original document before accepting them. The original imported file is not renamed or modified.
5. Internet connections
Simple Property Ledger does not send imported documents, OCR text, tenant records, financial records, or search queries to the publisher.
When the property map is shown or refreshed, the app may send an entered property address to Apple’s geocoding service to obtain map coordinates. Coordinates are cached locally to reduce repeated lookups. The app does not request or use your current device location, and the publisher does not receive the address or coordinates from Apple.
When you request the Ontario residential rent-increase guideline, the app retrieves public information from the Government of Ontario website. It does not attach property, owner, tenant, lease, banking, or document information to that request.
Network providers, Apple, the Government of Ontario, or another destination you intentionally open may process technical connection information under their own terms and privacy policies.
6. iCloud Drive and optional iCloud record sync
You may select or copy the Portfolio Library to a folder in your own iCloud Drive. Apple may synchronize those files through the iCloud account configured on your devices. We do not receive access to your Apple account or files stored there.
Property Ledger Mobile is a separate iPhone app. Its optional private CloudKit record sync currently supports compatible iPhones signed in to the same Apple Account; the current Mac App Store version is not connected. Pictures and imported documents have separate backup controls. Apple’s handling of iCloud information is governed by your agreement with Apple and Apple’s privacy practices.
7. Information collected by the publisher
Information that remains on your Mac or in a storage location you control and that we cannot access is not collected by us.
If you contact us outside the app for support, we may receive the name, email address, message, diagnostic information, or attachments that you voluntarily provide. We use that information only to respond, investigate the issue, maintain security, or meet a legal obligation.
Do not send tenant documents, banking documents, passwords, identity documents, or other sensitive records when requesting support unless specifically requested and you are authorized to provide them.
8. Tracking, advertising, and analytics
Simple Property Ledger does not track you across apps or websites, use advertising identifiers, display third-party advertising, sell or rent personal information, send usage analytics to the publisher, or use your records for advertising, profiling, or model training.
9. Sharing and disclosure
We do not receive your in-app property, tenant, document, or financial records and therefore cannot sell or disclose those local records.
You can choose to export reports, copy files, create backups, store files in iCloud Drive, open documents with another application, or send information to an accountant or another recipient. Once you transfer information to another person, service, device, storage provider, or application, their terms and privacy practices may apply.
We may disclose information that you separately provide to us, such as a support message, when reasonably necessary to comply with law, protect rights or security, investigate misuse, or respond to valid legal process.
10. App access and passwords
Simple Property Ledger does not require a separate app login. Access therefore depends on the security of your Mac user account and the storage locations you select. Use a strong Mac password, keep macOS current, enable FileVault where appropriate, protect your Apple account, and restrict access to sensitive folders.
The app does not store the password used for an encrypted backup. If that password is lost, the protected backup cannot be recovered by us.
11. Backups and exports
Backups and exports are created only at your direction or according to the automatic-backup schedule you select. They may contain personal and financial information.
For each manual backup, you can choose the Portfolio Library’s Backups folder, an iCloud Drive folder, or another local, external-drive, or network folder made available through the macOS file picker. The app records locally the date, selected destination path, and encryption status of the most recent successful backup on that Mac.
A manual backup can be created with or without password protection. A password-protected backup encrypts its file contents and internal filenames locally using AES-256-GCM. The encryption key is derived locally from your password using PBKDF2-HMAC-SHA256 and a unique random salt. The password and derived key are not stored in the backup or in Simple Property Ledger.
Unprotected and automatically scheduled backups use checksums to identify missing or changed files, but checksums do not prevent someone with file access from reading the contents.
12. Retention and deletion
Records and documents remain until you edit or delete them, remove their files, replace or remove a Portfolio Library, delete backups or exports, or remove applicable application-support data.
Former tenant records and documents are retained until you remove them. Copies may also remain in backups, exports, iCloud Drive, external drives, Finder folders, or files sent to another person.
Removing the application may not remove the Portfolio Library, backups, exports, or application-support data. To remove information completely, delete every relevant copy from each location where you stored or shared it.
13. Security
Simple Property Ledger uses macOS application sandboxing, user-selected folder permissions, local processing, duplicate-file checks, backup integrity verification, and optional password-protected backups.
No method of electronic storage is completely secure. Security also depends on your Mac, Apple account, storage provider, passwords, device-encryption settings, backup locations, and control over exported or shared files.
If you believe you have found a security issue, contact us without attaching tenant or financial records.
14. Tenant and sensitive information
Tenant documents may contain sensitive identity, banking, contact, or signature information. Store only information you are lawfully entitled to keep, limit it to what is reasonably necessary, and follow applicable privacy, landlord, employment, tax, and record-retention requirements.
The app organizes sensitive tenant documents separately but does not create a separate encrypted tenant vault. The security of these files depends on the Mac account and selected Portfolio Library location.
15. Children and international use
Simple Property Ledger is intended for adults managing residential property and is not directed to children. Do not enter information about a minor unless it is necessary, lawful, and appropriately protected.
The app may be available in more than one country. Storage locations and legal requirements depend on the device, region, storage provider, and choices made by the user. Users are responsible for determining which privacy, landlord, tax, and record-retention laws apply to their activities.
16. Future services and policy changes
Future versions may add online property information, direct financial connections, crash reporting, or other services. Before introducing a feature that changes how information is transmitted or made accessible to us or another provider, we will update this policy and the app’s privacy disclosures as appropriate.
We may revise this policy to reflect changes in the app, legal requirements, or privacy practices. The revised policy will show a new “Last updated” date. Material changes may also be described in the app or its release notes.
17. Contact
For privacy questions, complaints, or security reports, email My First Home Inc. at support@1sthomeapp.com or visit Simple Property Ledger Support. Do not attach tenant, banking, identity, or other sensitive records unless specifically requested and you are authorized to provide them.
For information contained in a landlord’s local Simple Property Ledger records, contact that landlord or property manager directly. Because we cannot access those local records, we cannot retrieve, correct, or delete them on the landlord’s behalf.
