Getting started

Four steps to a working repository.

1. Choose your repository

Select the main Finder folder you want Folder Steward to organize. You can change this folder later in Settings.

2. Add and review a file

Drop in a document or choose one from your Mac. Review the suggested filename and destination, add subfolders if needed, then store the file.

3. Find what you need

Select any folder to search filenames and locally extracted document text only within that folder and its subfolders.

4. Back up regularly

Choose a backup location, create a standard or password-protected backup, and use verification to confirm it can be restored.

Answers before you need them.

Where are my files stored?

In the ordinary Finder repository you select. Folder Steward does not place documents inside a proprietary cloud or database.

Can I create and rename subfolders?

Yes. You can use existing subfolders, add one or more new levels, and rename folders. Renaming updates the actual Finder folder name.

What happens if I move a file by mistake?

Use Recent Actions on the main screen or Move History to undo a supported file move. The app keeps the 20 most recent move operations.

Does Folder Steward upload my documents?

No. OCR, search, filename suggestions, and organization suggestions are processed on your Mac. The app has no account, advertising, analytics, or cloud AI.

Can Folder Steward organize an existing folder tree?

Yes. Select the existing directory as your repository. Folder Steward can index its files and suggest improvements, but it shows exact proposed moves for your approval before reorganizing.

What does Delete All Folder Steward Data remove?

It removes local indexes, extracted text, learned suggestions, saved permissions, histories, and preferences after a warning. It does not delete repository documents, exports, or backup folders.

Troubleshooting

Try these safe checks first.

A file preview is blank

Confirm the file still exists in Finder, then select it again. Some protected or unsupported formats may show only file information.

Search does not find expected text

Run Repository Health or re-index the selected repository. Image-only documents must finish local OCR before their contents appear in search.

The repository is unavailable

Reconnect external storage if needed, then choose the same repository again so macOS can refresh Folder Steward’s permission.

An encrypted backup password is lost

Folder Steward does not store backup passwords and cannot recover them. Keep a protected record of the password and a verified backup you can access.
