How Folder Steward Works

From an unsorted document to the right Finder folder.

Choose your repository

Select the highest-level Finder folder you want organized. Folder Steward displays the folders below it and watches for changes you make directly in Finder.

  • Your files remain ordinary Finder files
  • The three workspace columns can be resized
  • You can change or rename the repository later

Add and read a file

Drop a document into Folder Steward or select it from your Mac. The preview opens automatically while supported documents are read with local optical character recognition.

  • Preview opens immediately
  • OCR continues locally in the background
  • Nothing moves until you approve it

Choose where it belongs

Review suggested existing folders first, click through the repository, or create one or more missing subfolders. You can edit the suggested filename before storing the document.

  • Reuse existing subfolders to avoid duplicates
  • Create one or several folder levels
  • Suggestions improve from your naming choices

Find, move, and export

Select a folder and search filenames or locally extracted text within that folder and its subfolders. Move a result anywhere in the repository or export copies without changing the originals.

  • Search only the branch you select
  • Move to any repository folder
  • Export individual files or a ZIP copy

Review changes and undo

Recent Actions and Move History show what the app changed. Supported moves can be undone, and an approved multi-file organization plan can be reversed as one action.

  • The 20 most recent moves are retained
  • Command-Z restores the newest supported move
  • Unsafe undo attempts leave current files unchanged

Protect your repository

Choose a separate backup location and create a standard or password-protected backup. Folder Steward verifies new backups, and restoring creates a separate repository instead of replacing the current one.

  • You control the backup destination
  • Encryption applies only to the backup copy
  • Folder Steward cannot recover a lost backup password

A filing example

A utility bill finds its home.

Folder Steward can recognize the property address, invoice date, invoice number, and document type while the original file remains in place.
